Data Protection Education Ltd ("We") are committed to protecting and respecting your privacy.

Our Privacy Notice is fueled by our commitment to the following Principles:

  1. We’re deeply committed to creating a safe and secure online environment for you.

  3. We strive to provide you with access to and control over the information you give us, and we take the protection of your information very seriously.

  4. We support all data subject rights and principles of the GDPR and the Data Protection Bill 2018

  5. We do not advertise on any Data Protection Education website.

  6. We do not use any third-party cookies. The only cookies we use are required for the functioning of the website and expire at the end of your browsing session. This includes cookies for accepting cookie notifications and anonymous statistics using a first-party statistics cookie (matomo)

This policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us.  Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. Information we may collect from you

We may collect and process the following data about you:

  • Information you give us. You may give us information about yourself by filling in forms on kb.dataprotection.education (“our site”) or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you subscribe to use our service, register on our site, participate in discussion boards or other social media functions on our site, take part in a promotion or survey, and when you report a problem with our site. The information you give us may include your name, address, e-mail address and phone number, information on your place of work and job role, and other requested information. We will store and process this information on this website and email systems (Google apps, operated by Learn to Enterprises Ltd.)
  • Information you give us and submitted as part of a job application on our "work for us page".
  • Information we collect about you. With regard to each of your visits to our site we may automatically collect the following information:
    1. Technical information, including the internet protocol (IP) address used to connect your computer to the internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform; 
    2. Information about your visit, including the full Uniform Resource Locator (URL) clickstream to, through and from our site (including date and time); products you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call our customer service number. We use Matomo for tracking
    3. We do not aggregate your data with that from other sources. However, if your organisation subscribes to our services, we will use the data entered into this site as the basis for your account details unless we are instructed otherwise.
    4. We keep information about your customer interactions, such as support tickets, submitted and assigned logs, e-learning records, site notifications and email, compliance records and any changes to your profile.
    5. We track open statistics within our newsletter component.
    6. Phishing simulations - we track all activity: emails that are sent, opened and links clicked with them. We capture any data submitted via the phishing simulations

Cookies

Our website uses cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site. For detailed information on the cookies we use and the purposes for which we use them see our Cookie policy. We do not use any third-party tracking cookies, but we do use first-party anonymous tracking using Matomo - we do not share this data with anyone. 

Uses made

We use information held about you in the following ways:

The information you give to us. We will use this information:

  • To carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;
  • To provide you with information about other goods and services we offer that are similar to those that you have already purchased or enquired about. This includes when you sign up to our public webinars, or when you opt-in using one of our forms;
  • To notify you about changes to our service;
  • To ensure that content from our site is presented in the most effective manner for you and for your computer. 
  • To assess and contact you regarding a job application you have made.

Information we collect about you. We will use this information:

  • To administer our site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
  • To improve our site to ensure that content is presented in the most effective manner for you and for your computer; 
  • To allow you to participate in interactive features of our service when you choose to do so;
  • As part of our efforts to keep our site safe and secure;
  • Information we receive from other sources. We may combine this information with the information you give to us and the information we collect about you. We may use this information and the combined information for the purposes set out above (depending on the types of information we receive);
  • Usage data - when you visit our site, we will store: the website from which you visited us from, the parts of our site you visit, the date and duration of your visit, your anonymised IP address, information from the device (device type, operating system, screen resolution, language, country you are located in, and web browser type) you used during your visit, and more. We process this usage data in Matomo Analytics for statistical purposes, to improve our site and to recognize and stop any misuse;
  • News and updates will be published on our blog and we send out Newsletters via the email address we hold for you. We may keep your data if you request information for non-newsletter services. We track opening and click-throughs in our newsletter component hosted on our site.

Disclosure of your information

We may share your personal information with any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.

We may share your information with selected third parties and sub-processors including:

  • Business partners, suppliers and sub-contractors for the performance of any contract we enter into with them or you. These include businesses or individuals who may be shareholders and consultants in order to deliver the services that we offer to you. These include but are not limited to: Learn to Enterprises Ltd (hosting [OVH Ltd] and email [Google]), E2BN (administrative services) and our consultants including Data2Educate Ltd, AM Consulting Ltd, LM Educational Consultancy and other individuals in our team.
  • Development partners (including Tekdi Technologies located in India with who we contract using standard contractual clauses), analytics and search engine providers that assist us in the improvement and optimisation of our site.
  • Credit reference agencies for the purpose of assessing your credit score where this is a condition of us entering into a contract with you.
  • Business partners where you have given us consent to share your details in order for them to contact you regarding services they provide (for example GDPR software or legal services)
  • Business software, such as Quickbooks for accounting
  • We use Amazon SES based in London to send emails from our phishing simulation tool. Amazon only processes your email for the purposes of sending the email and has no visibility of data submitted in the phishing campaign
  • We use OnceHub for live chat and calendar scheduling

We may disclose your personal information to third parties:

  • In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
  • If Data Protection Education Ltd or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
  • If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property or safety of Data Protection Education Ltd group entities, our customers or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

Where we store your personal data

However, the data that we collect from you may be transferred to and stored at, a destination outside the European Economic Area ("EEA") under specific circumstances. It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of technical support and development services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

All information you provide to us is stored on our secure servers. Any payment transactions will be processed offline, or when online encrypted (using SSL technology). Where we process credit card payments, this will be done by a third-party gateway and we do not process your payment details. Where we have given you (or where you have chosen) a password that enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

All information you provide to us is stored on secure servers managed by Learn to Enterprises Ltd and located in UK datacentres operated by OVH Ltd. 

In certain circumstances, our development team in India will be required to access our data in our production environment. Any local data will be deleted once it is no longer required.

How long we keep your data

Once your subscription expires, we will keep your data no longer than one year, at which point it will be deleted.

Unsuccessful job applicants' data will be kept a maximum of 6 months from the fulfilment of the job posting.

Your rights

You have the right to ask us not to process your personal data. We will inform you (before collecting your data or upon our first communication with you) why we are collecting it or if we intend to disclose your information to any third party for such purposes. If you are dissatisfied you may complain to the supervisor authority in the United Kingdom, Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. 

Our site may, from time to time, contain links to and from the websites of external resources.  If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies.  Please check these policies before you submit any personal data to these websites.

Access to information

The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. We do not charge for providing information, however, we will only provide information that is not already available to you.
